For the purposes of UK data-protection law, Adam Taylor trading as Second Save Gaming is the controller of the personal information described in this policy.

- purchase games, consoles, accessories or other products;
- order our professional disc-cleaning service;
- send discs to us for inspection, cleaning and return;
- request or complete a trade-in;
- contact us, submit a form, make a complaint or request a return;
- subscribe to marketing or interact with an offer; or
- otherwise deal with Second Save Gaming.
3. Personal Information We Collect
The information we collect depends on how you interact with us.
Contact and identity information
This may include your name, email address, telephone number, billing address, delivery address, return address and any other contact details you provide.
Customer-account information
This may include your account details, preferences, account activity, sign-in information and communications connected with your account. We do not receive passwords held by external sign-in providers.
Order and transaction information
This may include products or services ordered, order numbers, prices, discounts, delivery methods, payment status, refunds, cancellations, returns, store credit and customer-service history.
Payment information
Website payments are processed by Shopify and the payment provider selected at checkout. Those providers may collect payment-card details, billing information, fraud-prevention information and payment authorisation data. We do not normally receive or store your complete payment-card number or security code.
For trade-ins paid by bank transfer, we may collect the account holder's name, sort code, account number and any other information reasonably required to make and verify the payment.
Disc-cleaning service information
When you order or use the disc-cleaning service, we may collect:
- your order number and contact details;
- the number and type of discs sent;
- notes you provide about the discs;
- delivery, receipt and return-tracking information;
- inspection and service records;
- photographs or video showing disc condition, the cleaning process, packaging or dispatch where reasonably required;
- information about unsuitable, damaged or additional discs; and
- communications, complaints, refunds or claims connected with the service.
Please do not include unnecessary personal documents or information inside a disc-cleaning parcel.
Trade-in information
When you request or complete a trade-in, we may collect:
- descriptions and photographs of the items offered;
- make, model, edition, storage capacity and serial numbers;
- information about condition, faults, repairs, modifications and missing parts;
- provisional and final quotation records;
- inspection and testing results;
- delivery, tracking and proof-of-postage information;
- your decision to accept or reject a final price;
- payment or store-credit information;
- evidence of identity, ownership or authority where reasonably required; and
- fraud-prevention or legal-compliance records.
Communications
We collect information contained in emails, contact forms, return requests, complaints, reviews, trade-in enquiries and messages sent through connected marketplaces or social-media services.
Device, website and cookie information
We and our service providers may automatically collect information such as your IP address, browser type, device type, operating system, pages viewed, links selected, referring website, dates and times of visits, checkout activity, cookie identifiers and general diagnostic information.
Fraud and security information
We may collect information needed to verify transactions, identify suspicious activity, protect accounts, prevent fraud, enforce our terms and protect our website, customers and business.
4. Personal Information on Devices Sent for Trade-In
Consoles, computers, storage devices and other electronic products may contain personal information. Before sending a device, you should:
- back up anything you wish to retain;
- sign out of all accounts;
- remove passwords, parental controls and activation locks;
- remove SIM cards and removable memory cards unless included in the trade;
- disconnect the device from online services; and
- erase your personal information where possible.
Inspection, testing or refurbishment may require us to access settings, perform a factory reset, restore software or erase stored information. We will not intentionally examine personal content beyond what is reasonably necessary to identify, inspect, test, secure, reset or erase the device, investigate suspected unlawful activity or comply with the law.
We cannot guarantee that information left on a device can be preserved or recovered.
5. How We Collect Information
We collect information:
- directly from you when you place an order, complete a form, contact us, send an item or subscribe to marketing;
- automatically from your device or browser through cookies and similar technologies;
- from Shopify, payment providers, delivery companies, banks, fraud-prevention services and other service providers;
- from marketplaces or social platforms where you choose to interact with us through those services; and
- from lawful sources such as banks, payment-dispute services, law-enforcement authorities or rights holders where reasonably necessary.
6. How and Why We Use Personal Information
We only use personal information where we have a lawful basis.
Contract
We use information where necessary to take steps at your request or perform a contract with you. This includes:
- processing and delivering orders;
- providing customer accounts;
- processing payments, refunds and store credit;
- providing the disc-cleaning service and returning customer-owned discs;
- providing trade-in quotations, inspections and payments;
- handling cancellations, returns, complaints and service issues; and
- communicating with you about an order, service or trade-in.
Legal obligation
We use information where necessary to comply with legal duties, including accounting and tax obligations, consumer-protection requirements, fraud and crime prevention, product-safety responsibilities and responding to lawful requests.

We may use information where necessary for our legitimate interests or those of another person, provided those interests are not overridden by your rights. These interests include:

- preventing and investigating fraud;
- maintaining evidence of item condition, packing, dispatch and service performance;

7. Packing, Condition and Dispatch Records
We may photograph or record products, trade-in items or customer-owned discs while they are inspected, cleaned, packed or dispatched. Records may show the item, its condition, serial number, packaging, shipping label, order reference and limited customer information visible during the process.
We use these records to confirm condition and contents, investigate delivery issues, resolve complaints, prevent fraud and respond to payment disputes. They are normally retained for no longer than 90 days unless required for an active complaint, claim, investigation, legal obligation or dispute.
8. Marketing
We may send marketing where you have consented or where another lawful permission applies. Marketing may include new arrivals, offers, trade-in updates and service information.
You can unsubscribe at any time by using the unsubscribe link in a marketing message or emailing hello@secondsavegaming.co.uk. We may retain a minimal suppression record so that we can respect your request not to receive further marketing.
Service messages about an order, return, disc-cleaning service, trade-in, security issue or policy change are not marketing and may still be sent where necessary.
9. Cookies and Similar Technologies
Our website uses cookies and similar technologies. Essential cookies are used to operate functions such as the basket, checkout, security and customer accounts.
Where required, analytics, personalisation and advertising cookies are used only after consent. You can manage non-essential cookies through the cookie-preferences tool where displayed and through your browser settings. Blocking some cookies may affect website functionality.

We may share personal information where reasonably necessary with:
- Shopify and connected store-service providers;
- payment processors, banks and payment-dispute services;
- postal, courier and delivery companies;
- email, customer-service, cloud-storage, authentication and technical providers;

- fraud-prevention and security services;
- accountants, insurers, legal advisers and other professional advisers;
- law-enforcement authorities, courts, regulators or public bodies where required or lawful; and
- a buyer or successor if all or part of the business is sold or transferred, subject to appropriate safeguards.
We do not sell personal information as a standalone commercial product.
11. Shopify
Our online store is hosted and powered by Shopify. Shopify processes personal information to provide website hosting, customer accounts, checkout, payments, order management, fraud prevention, analytics and related services. Shopify may also process information for its own purposes where permitted by law. Shopify's own privacy information explains its processing in more detail.
12. International Transfers
Some service providers may process information outside the United Kingdom. Where this happens, we or the relevant provider will use an approved legal safeguard, such as an adequacy regulation or appropriate contractual protection, unless another lawful exception applies.
13. How Long We Keep Information
We keep personal information only for as long as reasonably necessary for the purpose for which it was collected, including legal, accounting, tax, fraud-prevention and dispute-resolution requirements.
Typical retention periods are:
- order, payment, refund, trade-in and service transaction records: normally up to six years after the transaction, or longer where lawfully required;
- ordinary enquiries and customer-service records: normally up to two years after the matter is resolved;
- uncompleted trade-in quotations: normally up to 12 months after the last contact;
- condition, packing and dispatch photographs or video: normally up to 90 days, unless needed for a dispute or claim;
- marketing records: until you unsubscribe or we no longer need them, with a minimal suppression record retained where necessary; and
- cookie data: for the period shown in the cookie-preferences tool or the relevant provider's information.
We may keep information longer where there is an active complaint, legal claim, fraud investigation, chargeback, tax enquiry or other lawful reason. Information that is no longer needed will be deleted, anonymised or put beyond use where reasonably practicable.
14. Security
We use reasonable technical and organisational measures designed to protect personal information against accidental loss, unauthorised access, alteration, disclosure or misuse. No online system is completely secure, so you should also protect your account and email credentials and contact us promptly if you suspect unauthorised activity.

We do not normally make decisions producing legal or similarly significant effects about you solely by automated means. Payment providers and fraud-prevention services may use automated tools under their own policies. Where the law gives you rights in relation to such a decision, those rights remain unaffected.

Our website is intended for customers who can lawfully enter into the relevant transaction. A person under 18 should ask a parent or legal guardian to place an order or complete a transaction on their behalf. We do not knowingly use children's personal information for targeted marketing.
